How to Create a Manual Order in WooCommerce (With Online Payment Link)
This process is ideal for exchanges, adjustments, or manual charges, while still allowing the customer to pay securely online.
- Create a New Manual Order
- Log in to the WordPress Dashboard
- Go to WooCommerce → Orders
- Click Add order
- A new draft order will be created automatically
- Add or Assign a Customer
- In the Order details panel (top right)
- Click Customer
- Either:
o Select an existing customer, or
o Leave it as Guest (email will still be used for payment)
If the customer doesn’t exist yet, WooCommerce will still email them using the billing email you enter.
- Add Billing Details (Important)
- Scroll to Billing (alternatively it should pick up the details if the customer is already on the system)
- Enter at least: First name, Last name, Email address (critical for payment link)
- Save the order
The payment email will be sent to this address. - Add a Fee (For Exchanges or Price Differences)
This is perfect when: Exchanging sizes, Upgrading items, Charging a price difference
- To add a fee:
- In the Order items section, click Add item
- Select Add fee
- Enter:
o Fee name (e.g. Exchange Fee or Price Difference)
o Amount (positive value = customer pays) - Click Add
You can also add products if needed, but a fee alone works well for exchanges.
- Set the Payment Method
- In Order details
- Set Payment method to:
o The same gateway you use online (e.g. Card / PayFast / Peach / Stripe) - Set Order status to Pending payment
⚠️ Do not mark the order as Completed or Processing — the customer must still pay.

- Make the “Click Here to Pay” Link Visible
WooCommerce automatically generates a secure payment link for the order.
To send it to the customer:- In the Order actions dropdown (right-hand side)
- Select Email invoice / order details to customer
- Click Update
- The customer will receive an email containing a “Pay for this order” / “Click here to pay” button.
This link:
• Takes them directly to checkout
• Captures payment online
• Automatically updates the order status once paid
- If the Customer Chooses to Pay Later
• The order remains Pending payment
• The payment link stays active
• You can resend the payment email at any time using:
Order actions → Email invoice to customer - After Payment Is Made
Once the customer pays:
• Payment is captured via your normal gateway
• Order status updates automatically
• You can then proceed with:
o Dispatch
o Exchange
o Collection
